This Privacy Policy describes how Prism Business Solutions LLC ("we," "us," or "Prism") collects, uses, and shares information when you use our AI receptionist service available at prism-business.com.

1. What we collect

  • Account information: name, email, business name, phone number, and billing details you provide at signup or during onboarding.
  • Business configuration: information you submit in the onboarding form — business hours, services offered, pricing guidance, FAQs, voice preference, escalation preferences — used to configure your AI assistant.
  • Call data: recordings, transcripts, caller phone numbers, and summaries of calls handled by your AI receptionist. This is generated when your AI answers a call.
  • Usage data: timestamps, call counts, outcomes, and other metrics about how your account is being used.
  • Payment data: handled by our payment processor (Stripe). We do not store full card numbers.

2. How we use information

  • To provide and operate the service (train your AI, answer calls, send you call summaries).
  • To communicate with you about your account, trial, and subscription.
  • To improve reliability, detect abuse, and troubleshoot issues.
  • To comply with legal obligations.

3. Who we share with

We share the minimum data necessary with the following categories of service providers to operate the service:

  • Stripe — payment processing.
  • Twilio — phone number provisioning and call routing.
  • Vapi / voice AI providers — handling live call audio, transcription, and response generation.
  • Supabase — secure database hosting.
  • GoHighLevel — CRM and communication workflows.

We do not sell your personal information. We do not share call recordings or transcripts for any purpose other than operating your AI receptionist and improving service reliability.

4. Call recordings

Your AI receptionist records and transcribes inbound calls so we can generate summaries and improve answer quality. By subscribing, you represent that you will provide appropriate notice to your callers where required by law (many U.S. states require at least one-party consent; some require two-party consent). It is your responsibility to ensure compliance with applicable recording laws in your jurisdiction.

5. Data retention

We retain your account and call data for as long as your subscription is active, and for a reasonable period afterward for legal, billing, and operational purposes. You can request deletion at any time by emailing [email protected].

6. Your rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal information. Contact us to exercise any of these rights.

7. Security

We use industry-standard security controls including TLS in transit, encryption at rest, row-level security in our database, and scoped API access. No system is perfectly secure, but we take this seriously.

8. Changes to this policy

We may update this policy from time to time. Material changes will be communicated via email to the primary account contact.
